The Complete Office Water Service Buyer’s Guide

The best office water service plan matches peak workplace demand, building conditions, water-treatment goals and a documented service process at a total cost the organization can compare.

1. Write the requirement before comparing providers

Count employees by shift, not only total payroll. Add visitors, meeting traffic and customer-facing demand. Mark every proposed dispensing point, busiest refill window, available storage, delivery access, electrical outlet and approved plumbing location. Identify desired temperatures, accessibility needs and who owns the decision after installation. See current office water service prices.

A useful service brief records five things.

People, peak demand, placement, building access and the response expected when something goes wrong.

2. Compare the water system, not only the brand

Option	Best fit	Planning requirement	Ongoing work
Bottled delivery	Leased, temporary or plumbing-limited spaces	Route access and bottle storage	Delivery, empty pickup and bottle handling
Bottleless water service	Stable sites with suitable plumbing	Water line, power and filter access	Filters, sanitation and repairs
High-capacity dispenser	Large teams and concentrated peaks	Measured recovery and flow needs	Preventive service and capacity review
Hybrid program	Mixed permanent and temporary areas	One standard across two service types	Coordinated records and support

3. Size the plan around peak demand

Average daily consumption does not show whether a cooler can serve a busy break period. Ask the provider to explain dispensing rate, cold-water recovery, storage capacity and assumptions. For multiple floors or distant work areas, several correctly placed units may outperform one large unit that employees cannot reach easily.

Capacity worksheet

Employees and visitors by shift
Number and timing of peak breaks
Distance to each proposed dispenser
Hot, cold, ambient or sparkling demand
Backup plan for downtime or missed delivery

4. Compare the full annual cost

List installation, equipment, bottle quantities, cooler rental, filtration, sanitation, preventive service, repairs, route fees, deposits, minimums and internal handling. Model twelve months under normal, busy and low-occupancy conditions. Keep taxes and pass-through charges visible.

Normalize every proposal

Required field	What to record
Equipment	Model, capacity, temperatures and quantity
Water treatment	Filter stages, replacement interval and basis for selection
Routine service	Delivery, sanitation, inspections and records
Support	Hours, response target, escalation and backup
Commercial terms	All fees, term, renewal, increases, move and removal rules

5. Read the service contract as an operating document

The agreement should say who installs, stocks, cleans, changes filters, repairs equipment, adjusts volume and removes equipment. Confirm contract term, automatic renewal, annual increases, early termination, relocation and the response when service is unavailable. Avoid relying on verbal promises that do not appear in the final order.

6. Inspect and review after launch

Record installed equipment, filter configuration, service dates, bottle volumes, downtime and open issues. Revisit placement and capacity after the first full billing cycle and whenever occupancy, shifts or floor layout changes.
